How to Use Facebook Collaborators on Posts: Step-by-Step

Using Collaborators on Facebook Posts

Adding a co-author or collaborator to your Facebook posts is a powerful way to expand your reach and build connections with other accounts. When you invite another page as a collaborator, the post can appear directly on both of your page timelines, helping you reach both of your audiences at the same time.

Please note: Facebook rolls out features gradually. Depending on your page’s current account setup, region, or page type, the collaborator feature may not be available to you or your chosen partner page just yet.

Why Use the Collaborator Feature?

When you add a page as a collaborator, you both share the benefits of the post:

  • Shared Reach & Impressions: The post displays both page names at the top, exposing your brand to the collaborator’s existing audience and vice versa.
  • Combined Engagement: Comments, likes, and shares are pooled together on the exact same post, giving it a much stronger push in the Facebook algorithm.
  • Shared Insights: Both pages get full visibility into how the post performed, including reach and engagement metrics.

How to Add a Collaborator When Posting

You can invite a collaborator whether you are creating or scheduling a post directly on your Facebook page or from within Meta Business Suite.

Method 1: Posting Directly on Your Facebook Page

  1. Switch to your Business Page profile.
  2. Click to create a new post.
  3. Look for the Collaborator option (often represented by a person icon or hidden under the three dots ... options menu).
  4. Type in the name or web address of the page you want to tag as a collaborator and select them.
  5. Publish or schedule your post as normal.

Method 2: Posting via Meta Business Suite

  1. Open Meta Business Suite and click Create post.
  2. Draft your caption and add your media files.
  3. Scroll down to the Post Details or Distribution options section.
  4. Toggle on Invite collaborator.
  5. Enter the name or URL of the page you wish to invite and select them.
  6. Click Publish or set your scheduled time.

Once your post goes live, the invited page will receive an invitation to accept. Until they accept, the post will only appear on your page. When they accept, the post will go live on their page at that time; timing of acceptance matters.

How to Accept a Collaborator Invitation

If another business adds your page as a collaborator, you must manually accept the request before the post appears on your timeline.

  1. Open Facebook and click on your profile icon to switch to your Business Page.
  2. Click on your page’s Notifications (the bell icon).
  3. Find and click the notification stating that another page has invited you to collaborate on a post.
  4. Review the post, then click Accept.

Once accepted, the post will immediately appear on your page’s feed with both of your brand names tagged at the top.

Why Use Collaborators? (Benefits for You and Invited Pages)

Collaborating with other pages is one of the most effective organic growth tactics on Facebook. Expanding to allow up to 5 collaborators per post makes it even easier to cross-promote content, pool audiences, and amplify your brand presence without paid ads.

1. Why Give Away Content to Another Page’s Timeline?

It can feel counterintuitive to place your hard work on someone else’s Facebook page, but doing so provides major growth advantages:

  • Massive Audience Multiplier: Adding up to 5 collaborators means your post appears on up to 6 timelines at once (yours + 5 partners). This instantly exposes your brand to entirely new audiences who already trust your partner pages.
  • Shared Social Proof: All likes, comments, and shares are consolidated into one unified post. Higher engagement signals to the Facebook algorithm that your post is popular, pushing it higher up in users’ feeds.
  • Transparent Shared Analytics: Both you and your invited collaborators get full visibility into the overall post performance (including total reach, impressions, and engagement numbers), making joint campaign reporting effortless.

2. What Happens on the Invited Page’s Profile?

Understanding how Facebook delivers collaborative posts helps you set realistic expectations for your partners:

  • It Live-Publishes on Their Page Timeline: Once accepted, the post sits directly on their Page timeline as if they posted it, displaying both your brand name and their brand name in the header.
  • Shared Performance Stats: The invited page can see the combined analytics for the post inside their Meta Business Suite or Professional Dashboard.
  • Feed Distribution Reality:Accepting a post does NOT auto-push it onto their followers’ main news feeds as a brand-new notification.
    • Instead, the algorithm treats it as a timeline post. Followers will see it organically if they visit the collaborator’s page, or if the algorithm organically selects it for their feed based on high engagement signals.
    • Why this matters: This is why collaborators should still be encouraged to share or comment on the post after accepting—it sends fresh engagement signals to help push the post onto their followers’ feeds.
  • Inform Them Beforehand: Never add another page without asking first. Reach out via Direct Message or email to let them know the post is coming and why it benefits them.
  • Agree on Timing: Let them know when the post will go live so they can be ready to switch to their page and accept the notification promptly.
  • Follow Up After Publishing: Send a quick message with a direct link to the post once it is live, as notifications can sometimes get buried in busy Facebook inboxes.

Please note: The Hive NZ – when posting about your business or product, will always add your FB page as a collaborator, where possible. We do not contact you each time, for this reason – especially our Pro+ Boost vendors – should keep an eye on their page notifications

Encouraging Engagement After Acceptance

Because the post does not auto-push to their followers’ feeds, advise readers to take two simple extra actions:

  • Leave a Comment: Ask the collaborator page to leave a thoughtful comment on the post immediately after accepting.
  • Share to Stories: Recommend that the collaborator page share the live post directly to their Facebook Stories. This acts as a direct notification to their audience, pulling users straight to the collaborative post.

Content Suitability & Quality Control

A short tip on what type of content works best for collaborative posts:

  • Co-branded Visuals: Posts perform significantly better when the image or video clearly features both brands (e.g., joint giveaways, co-hosted events, joint product launches, or cross-promotional bundles).
  • Clear Tagging in the Caption: Even with the collaborator header, tag the partner page handle (@PageName) in the main caption so users can easily click through to their profile.
